You should try fetchflow. They offer full featured invoicing solution for free. It is OS independent as it is web based. You can create Unlimited PDF [Adobe PDF] branded invoices, estimates & PO's. There are many cool features like paypal integrated invoice payments,MS-Excel template based invoicing,Integrated stock & catalog invoicing etc.And many useful add-on,s are also available.

Just create your own template with a few fields that need to be changed monthly. You could even write it out on a scrape piece of paper and send it to them. Not sure what the real problem is here and think that you are trying to make the issue bigger then it should be. Ask the company what other free lancers do!

Are you using paypal for payments?

If yes, will the create invoices section in the paypal work for you?

I dunno how good it would be to help you, but that is what I hear others use to send invoices to their client.

Cool Advice from a fellow freelancer!

I use Nutcache because it's real easy to do the basics with no fuss. It's also free, which is rare for a good piece of online software.

I can send invoices with my logo on from my online account, so no need to keep paper records, or even create a paper invoice to start with.

I can send the invoice in 5 or 6 different formats, and I can see on my account when my client has opened the file, so I know if they're avoiding paying me! They can also click a link from the email/invoice to pay via Paypal, 2CO and Authorize.

Checkout Planetsoho.com. Great for freelancers and small businesses, very easy to use. It includes recurring invoices, payment by paypal, templates etc.

I can see couple of tools that I had used in the past in the above list, which I don't want to mention because my experience with them was disastrous.

I had been invoicing manually for the past 18 or 20 months, as the tools that we used did not go well. Being a small business, we do not take risk purchasing a software without using it, which had been working very well for us. All we had invested is on good tools, especially for our kind of business. I had even used CMS based extensions for billing and invoicing.

Luckily, one of my client referred Zylot - http://www.zylot.com which I had been using for the past couple of weeks and we are in the process of purchasing this software for our in-house usage.

I and many of my clients use quickbooks. You can use it online on install the program on your computer. In addition to doing your bookkeeping, you can create and email invoices from the program. You can even sign up for credit card processing so your customers can click a link on the invoice and pay by credit card.
